A WhatsApp Business API line requires a business verification and a number approval on Meta's side. For these steps your business details and the number to be used are enough.

Choose the number

An unused number, or your current one. If you want to use your current number without taking it off your phone, the Coexistence route is there.

Business verification

Meta approves your business and your display name. The whole timing is on Meta's side.

The line opens in the panel

After approval the line is listed in the panel. You upload your templates, set up your forms and match your team to the line.

The only way outside the 24 hours

If the customer has not written to you in the last 24 hours, you cannot send free text; a Meta-approved template is required. You write the template in the panel, define its variables and submit it for approval. Approval takes anywhere from a few minutes to 24 hours.

Technical details
  • The category is set by Meta: service notification, marketing or verification code
  • Each template is in a single language; the same text in another language is a separate template
  • Variables are bound to CRM fields; you see the final version before sending
  • You can add an image to the header; the image is kept in permanent media, so the link does not expire
  • Editing a published template sends it back for approval; the name, language and category do not change
  • If a send fails, the reason is written in the warning next to the message

The WhatsApp form opens inside the conversation; the customer never leaves the app.

You build a form from name, phone, dropdown, date, checkbox and file fields. If you pull the fields from your CRM, the options come from there too and each answer is written to the right field. Before publishing, you see how the form looks on a phone.

Technical details
  • A published form can never be changed (a Meta rule); create a draft and preview it first
  • If field text goes over the limit, the form will not open on the phone; the builder warns you as you write
  • An option list pulled from the CRM can be shortened; the identifier stays the same, only the visible text gets shorter
  • To pass answers to the CRM, every field must have a CRM counterpart
  • How many times the form was sent, how many people filled it in and the completion rate are shown in the panel

No copying the basics by hand

Answers are listed per form in the panel, and written into the fields of the CRM record at the same time. So when the first conversation starts, what the customer wants is already in the record.

  • The answer appears in the conversation the moment it arrives; the agent does not wait
  • If CRM transfer is on, the fields are filled; a field that already has a value is not overwritten
  • All of the answers are also added to the record timeline as a note

An official line has two separate costs

On the FlexInbox side an official line is $60 per month or $600 per year; it does not change no matter how many agents you add. Separately, WhatsApp Business API usage fees are calculated by Meta by message category and destination country, and paid directly to Meta. We add no commission to those fees. Meta calculates it by message category and country. Inside the 24-hour window that opens when a customer writes to you, free conversation carries no extra template fee.

If you connect your own number by QR code, no Meta usage fee arises; you pay the line fee only.

Limits

What to know about official lines

Most of the rules are set by Meta; we write all of them out before any contract.

The 24-hour window. After the customer writes, you can talk freely for 24 hours. When the window closes, you can only reach them with an approved template; when the customer replies, the window reopens.

Daily conversation tier. The number of conversations you can start per day is tiered: 250, 2,000, 10,000, 100,000 and unlimited. The tier rises with steady use.

Template approval sits with Meta. Meta approves or rejects the template. The reason for a rejected template is shown in the panel; you edit it and submit it again.

Show all technical limitations

A published form cannot be changed. Meta does not change the definition of a published form. A new version means a new form; that is why the draft preview is there.

Groups do not work on official lines. WhatsApp groups land in the inbox on QR code lines only.

A number belongs to one account. A number taken onto an official line cannot be used in another WhatsApp account at the same time. If you also want to keep your current number on your phone, the Coexistence route is there.

How do you get WhatsApp Business API?

For the application, your business details and the number to be used are enough; Meta handles the business verification and the display-name approval. After approval the line opens in the panel.

Can I move my current number to an official line?

Yes. If you want to use your number without taking it off the app on your phone, there is WhatsApp Coexistence; if you want to move it fully to the API, there is the classic route. The difference between the two is on the line types page.

How long does template approval take?

Meta approves most templates within a few minutes; under heavy load it can take up to 24 hours. The approval status is shown in the template list in the panel.

What exactly is the 24-hour window?

When a customer sends you a message, a 24-hour window opens and you can send free text inside it. After the window closes you can only reach them with an approved template; when the customer replies, the window reopens.
