Connect your agency account once, and the sub-accounts follow
In the panel you click 'Connect to GoHighLevel' and pick your agency account on the GoHighLevel consent screen. Your sub-accounts, your users and your pipeline stages come from there.
Authorize the agency account
In the GoHighLevel window that opens, select your agency and confirm. You do this once; it is installed on every sub-account you have today and on every one you open later. If you have a single sub-account, you select only that one.
Give the sub-account lines and an admin
You set the line quota for each sub-account and, if you want, assign an admin to it. That admin sees only the conversations and lines of their own sub-account.
Connect the line
One shared number for the sub-account, or a number for each staff member: scanning the QR code is enough. Telegram accounts connect from the same place.
The connection starts only from the panel: installing the app from the GoHighLevel marketplace does not create the connection on its own. First you have a FlexInbox account, then you click "Connect GoHighLevel" in the panel; the connection is completed in a few steps.
All sub-accounts on one screen
The agency admin sees the connected lines, line quota and subscription status of every sub-account in one table. A sub-account admin sees only their own account; one sub-account's conversation is never visible to another.

Shared line
The sub-account has a single number; every user in GoHighLevel writes from it. This suits small teams.
Staff line
Each GoHighLevel user connects their own number and sends only from their own line. Another person's private number is never used.
Sub-account admin
The agency can assign an admin to each sub-account; with their own login that admin sees only that account's conversations and lines, and scans the QR code themselves.
License per sub-account
Each sub-account has its own line quota and period, set by the agency. In staff line mode the quota is tied to the user.
GoHighLevel sees WhatsApp as SMS
You do not rewrite the workflows you already have. Every automation with a 'Send SMS' step sends over WhatsApp with no change at all.

The channel follows the customer
The reply goes out on the channel the customer wrote from. If you want, you can select WhatsApp or Telegram by typing w// or t// at the start of the message; the choice is remembered for that customer.
An undelivered message is not hidden
If the number has no WhatsApp, the contact gets a 'No whatsapp' tag and the message is marked failed in GoHighLevel. The same applies when the user has no authorized line: nothing that was not sent is ever called delivered.
The same message is not sent twice
Even if GoHighLevel reports a send twice, each message is processed once by its id. The job is written to a durable queue; if the server restarts, an untried send is not lost, and one whose outcome is unknown is not blindly retried.

Write from Conversations, send over WhatsApp
Agents write from the GoHighLevel Conversations screen and from its mobile app; the message goes to the customer's WhatsApp or Telegram. Replies written from the panel or from a phone are mirrored into Conversations too, so the whole conversation stays in GoHighLevel.
Technical details
- Photos, documents and audio travel both ways; a file attached in GoHighLevel goes to WhatsApp, and a file from WhatsApp lands in Conversations
- A first-time customer is created as a contact with their WhatsApp name; an existing contact's name is left alone, and the source field is set to 'WhatsApp' when it is empty
- The contact's assigned user becomes the conversation owner; the owner, pipeline stage and notes can be changed in the panel
- The number is matched exactly: even if the GoHighLevel fuzzy search returns a similar number, the message is written only to the contact that matches exactly
- Optional: a short link that opens an incoming photo full size in the browser is added under it (enabled per sub-account)
The pipeline stage sits right above the conversation
An agent writing from the panel changes the contact's owner, moves the opportunity along the pipeline and adds a note to the contact, all on one screen. The stage list comes from your GoHighLevel pipeline; if there is more than one opportunity, you choose which one to work with.

Your workflows, your Conversation AI and your calendar reminders keep working exactly as they are; the only difference is that 'SMS' steps now go out over WhatsApp. You do not learn a separate automation tool, and you do not keep rules in two places.

- An incoming message fires the 'Customer Replied (SMS)' trigger; your existing workflows are already wired to it
- The 'Send SMS' step of a workflow, appointment reminders and Conversation AI replies all go out over WhatsApp
- The FlexInbox AI agent does not run on these lines; the reply is GoHighLevel's decision, so two AIs never overlap
- Connection health is visible in the panel: if authorization drops, a 'reauthorize' warning appears instead of it emptying silently

Offer it under your own brand
If you sell GoHighLevel to your customers under your own brand, you offer the WhatsApp integration the same way: your own domain, your own logo, and the emails and links your customer receives in your name. Your customer never sees the FlexInbox name.
Your own domain
The panel opens on your own domain and its certificate is installed automatically. Even the contact source in GoHighLevel is written with your brand.
Your own app identity
The GoHighLevel connection is made with your own agency app; your name appears on the consent screen. When you rotate your app key, installations are not broken silently, they are migrated in a controlled way.
Sell per sub-account
You set the line quota and the period per sub-account. Your customer becomes the admin of their own sub-account and is not involved in the rest.
GoHighLevel Telegram integration
Telegram messages land in the GoHighLevel Conversations screen as well and appear as SMS, just like WhatsApp. When you talk to the same person on two channels, which channel is used is handled for you.
The channel preference updates itself
Your reply goes out on whichever channel the customer wrote from; you do not pick anything.

Start the message with t// and it goes out on Telegram and stays fixed for that person; w// switches back to WhatsApp.

The FlexInbox AI agent does not run on these lines
On GoHighLevel lines, GoHighLevel gives the answer: workflows and Conversation AI. We do not stack our own AI agent on top; two automations colliding on the same customer will lose that customer.
A shared line and staff lines cannot be used together in one sub-account
A sub-account runs either on a single shared number or on one number per person. Both cannot be on at the same time; otherwise it becomes unclear which message goes out from whom.
A user with no authorized line cannot send
In staff line mode, a message from a user with no number of their own does not go out from another person's private line; it is marked failed in GoHighLevel and the reason is written down.
An official WhatsApp Business API line cannot be connected today
A GoHighLevel sub-account takes WhatsApp and Telegram lines connected by QR code. For a Meta-approved official line, see our other CRM pages; it is next in line for GoHighLevel.
Group chats are not carried into Conversations
WhatsApp groups are visible and can be answered in the FlexInbox panel, but they are not written to GoHighLevel. A group has no single contact record.
A QR code line is subject to WhatsApp rules
Sending bulk or unsolicited messages from a private number can get that number restricted. If you plan high volume through workflows, let us talk before setup.
About the GoHighLevel integration
Does the GoHighLevel WhatsApp integration break my workflows?
No. WhatsApp takes the place of the GoHighLevel SMS channel; every workflow with a 'Send SMS' step runs as it is, only the message goes out over WhatsApp. No rule is rewritten.
Where do the messages appear in GoHighLevel?
On the Conversations screen, as an SMS conversation. The incoming message and the reply sent from GoHighLevel stay there; replies written from the panel or from a phone are mirrored there too.
Is there a GoHighLevel Telegram integration too?
Yes. A Telegram account connects to the same sub-account; the reply goes out on the channel the customer wrote from. You can also select the channel yourself by typing w// or t// at the start of the message.
As an agency, can I install it on all my sub-accounts at once?
Yes. You authorize once with the agency account; it is installed on the sub-accounts you have today and on those you open later. You set each sub-account's line quota and admin from the panel.
Does each staff member use their own number, or a shared one?
Both are possible: a single shared number for the sub-account, or a number for each GoHighLevel user. In staff line mode a user sends only from their own line.
Can I use Conversation AI with the GHL WhatsApp integration?
Yes. Conversation AI and workflows answer over WhatsApp. The FlexInbox AI agent deliberately does not run on these lines; GoHighLevel is the single owner of automation.
Is installing the app from the GoHighLevel marketplace enough?
No. The connection starts in the FlexInbox panel with "Connect GoHighLevel"; you need a FlexInbox account first. The connection is completed in a few steps.
Is the WhatsApp Business API required?
No. You connect the sub-account number by QR code; you do not wait for template approval or an API application. A Meta-approved official line is next in line for GoHighLevel.
